Our team of MN wedding coordinators had the pleasure of working with Erin and Tyler to create their beautifully elegant day at Woodhaven. We’re here to spill all the details and give you plenty of inspiration if you’re celebrating your own big day at this venue.
Rustic Elegance owner Kellie handled all of the planning details leading up to the wedding day alongside Erin and her mom. Two weeks before the wedding, their lead planner, Marissa, joined to meet everyone and get fully up to speed on the details. Our team couldn’t wait to help these two celebrate with their 200 guests!
THE MORNING
Lead Planner Marissa and Assistant Planner Natalie arrived at Woodhaven around 10am, with the wedding party already on site getting ready for the day ahead. Our team popped upstairs to check on the ladies, where the room was filled with bridesmaids and an amazing glam team (shoutout to Ashley Holm Hair, ESO Makeup, and Emily the Beauty Artist!). With such a large group, we kept an eye on the temperature and adjusted the AC as needed to keep everyone comfortable. Meanwhile, the groomsmen were in the Clubhouse enjoying drinks with the fathers.
From there, our team got to work setting up decor. The bride’s mom had everything beautifully organized in 30+ banker’s boxes, which made locating items a breeze for our team!
The couple’s crew kept finding ways to jump in and help, and even when we encouraged them to relax, they insisted they loved being part of the setup. We’re always happy to work alongside family and friends who want to be involved, but we’re also here to make sure they get to enjoy the day, too. ;)
With a larger wedding party (8 bridesmaids and 11 groomsmen), the couple wanted to make sure everyone was well fed. This called for a quick break for everyone to enjoy a huge lunch buffet!
Once the wedding party finished eating and was fully dressed (we’re obsessed with Erin’s dress from Ivory Bridal Co!), it was time for the couple’s first look. They met at the ceremony site in front of a stunning floor arch designed by Forget Me Not Florist. After an emotional first look, the couple shared their private vows.
MJ Denny Photography then took the couple around the property for portraits before inviting the full wedding party to join in for group photos.
As photos wrapped up, our team stepped in to gather everyone for a quick day-of rehearsal to ensure the ceremony would run smoothly. We also reminded everyone to clear out the bridal suites before the main events began. Even if the suites stay open, it’s always a good idea to take care of this earlier. You don’t want to end your night cleaning instead of celebrating!
THE CEREMONY
The ceremony site featured a beautifully simple setup. One of the perks of a Woodhaven wedding is the flexibility. You can go as elaborate or as minimal as you’d like! We loved the choice of a simple floor arch, which allowed the couple to incorporate plenty of colorful florals without them feeling overwhelming or distracting.
As guests arrived, they were serenaded by the Loring String Quartet. Once everyone was seated, we began cueing the wedding party for the ceremony. The processional included all of the bridesmaids and groomsmen, along with the grandparents, and Tyler made his entrance with his parents.
Doris and George were the sweetest little duo, serving as flower girl and ring bearer. They were so excited about their roles and practiced several times beforehand. They absolutely nailed it!
Erin then made her grand entrance escorted by her father, and she looked absolutely stunning!
The ceremony was officiated by the couple’s family friend, Steven, which made it feel even more personal and meaningful for everyone.
Erin and Tyler kept their ceremony short and sweet (seriously, it was maybe five minutes!) before sharing their first kiss as husband and wife.
THE RECEPTION
As the ceremony concluded, the couple stepped aside to sign their marriage license while guests made their way to the bar area for cocktail hour.
Forget Me Not Florist stayed on-site to help repurpose florals after the ceremony. We loved how the floor arch was transformed on the mantle behind the head table!
While guests enjoyed cocktail hour, the couple finished up family photos. Guests also had a blast using the photo booth the couple rented from us, and we especially loved the custom backdrop. It was a large board filled with black-and-white photos of the couple!
As cocktail hour came to an end, we invited guests to take their seats in the reception space. We were obsessed with how the decor came together! Each table featured candles in hurricanes provided by the couple, along with bud vases filled with colorful blooms from Forget Me Not Florist. The space was elevated even further with string lights from Phos.
Once everyone was seated, it was time for the grand entrance! The bridesmaids and groomsmen kicked things off, followed by the couple of honor. When the room erupted in cheers, we knew we were in for one heck of a party!
Tyler gave a quick welcome speech before inviting everyone to enjoy a delicious buffet dinner from River Valley Catering. The meal was followed by a variety of sweet treats from Cocoa & Fig. Everyone was ready to dig in!
As dinner and speeches wrapped up, it was time for the first dances. The couple shared their dance to “I’m Gonna Love You,” followed by the traditional parent dances.
Instant Request then took over with the perfect playlist to get everyone on the dance floor. This group brought the energy. The dance floor stayed packed all night! We just know this crew gave Amerigo Media plenty of incredible moments for wedding day content.
It wasn’t long before we brought out the glow sticks and boom sticks to keep the dance floor lit all evening! With the couple’s signature martinis flowing and a late-night snack from River Valley Catering, it was the perfect way to end the night.
Guests hopped on a shuttle from Northfield Lines for a safe ride back to their hotels, while the wedding party loaded onto the Rent My Party Bus shuttle to keep the celebration going!
